Common Issues & Fixes

OneDrive Sync Errors

The OneDrive tray icon shows the sync state — a red X or yellow warning indicates an error.

  1. Click the tray icon → View sync errors for a list of affected files.
  2. Common causes and fixes:
Error Cause Fix
File name too long Path exceeds 260 characters Shorten the file or folder name, or move closer to the root
Invalid characters File name contains < > : " / \ \| ? * Rename the file
File locked File is open in an app Close the file and wait for sync
Storage full OneDrive quota exceeded Free up space or purchase additional storage
Conflict File edited on multiple devices simultaneously OneDrive creates a conflict copy — review and merge manually

OneDrive Not Starting / Missing from System Tray

  1. Search for OneDrive in the Start menu and launch it.
  2. If it won't start, reset OneDrive:
    %localappdata%\Microsoft\OneDrive\OneDrive.exe /reset
    
  3. After a reset, the tray icon disappears briefly — relaunch OneDrive from the Start menu after ~30 seconds.

Files On-Demand — Files Show as Online-Only

Files On-Demand allows files to appear in File Explorer without being downloaded. To make a file always available offline:

  • Right-click the file or folder → Always keep on this device.
  • To free up local space: right-click → Free up space (reverts to online-only).

To disable Files On-Demand entirely: OneDrive tray icon → Settings → Sync and backup → Advanced settings → disable Files On-Demand.


Known Folder Move (Desktop, Documents, Pictures)

Known Folder Move backs up Desktop, Documents, and Pictures to OneDrive automatically.

To enable: 1. Click the OneDrive tray icon → Settings → Sync and backup. 2. Click Manage backup and toggle on the folders to protect.

To disable (move folders back to local): 1. Go to Settings → Sync and backup → Manage backup. 2. Toggle off each folder — Windows will move the contents back to the local profile path.

Warning

If Known Folder Move is enforced by an Intune or Group Policy, users will not be able to disable it without admin intervention.


  • Check the link permissions: onedrive.com → right-click file → Manage access — verify the link type (Anyone, People in organisation, Specific people).
  • Expiry dates on sharing links can silently expire — check and extend if needed.
  • If external sharing is blocked, review the SharePoint sharing settings: SharePoint admin center → Policies → Sharing.

OneDrive Using Too Much Bandwidth

Throttle the upload/download speed to reduce impact on network performance:

OneDrive tray icon → Settings → Sync and backup → Advanced settings → Limit upload/download rate.
